All live events taken place in a physical environment are alike. Events attract people together in the same place at the same time to get experiences, memories or knowledge. In order to achieve that someone needs to be an organizer, a producer or whatever name of this role we want to use. It’s up to his/her to decide the answers for the big questions of why, to whom, what, when, where, who and how.

To organize a successful event, we need to design and plan the event content appealing to our guests or customers. To provide this content we need a place that is set up properly. In organizing any event we also need a great number of products for different purposes in different parts of event production. Usually events attract a large number of guests on site. This means that we need also our own people to do all kinds of tasks around the event. Some tasks are often too complicated or unreasonable to care by our own staff. In those cases there are professionals we can hire to do those tasks for us.

That’s all. All tasks we need to do for our event can be classified to above. So we did. Areas we need complete in our event production projects belong to one of these: Management & Leadership, Customer Experience, Space, Stuff, Staff or Space. No event is a success, if it lacks management and leadership from the top executives. You need management for doing things right. And you need leadership in doing the right things.

#2 Customer Experience (CX)

”Do what you do so well that they will want to see it again and bring their friends also” (Walt Disney). The success of your event is determined by your guests. Therefore your first priority in all planning should be providing your guest (or customer) experience exceeding his/her expectations.

#3 Space

Services and experiences you provide to your guests and customers take place in a certain moment in a certain place. We call place with a much cooler name, space. Space is a part of the bigger entity we call areas. Areas are bigger entities within a specific event venue.

#4 Stuff

There are huge number of different machines, devices, acessories and products you need to get things done. This stuff needs to be available in right time, right place and right way by right people. Managing stuff needs proper tools for storage, sourcing, logistics, delivery and re-usage.

#5 Staff

From people to people. No event works without an event staff, that is in most cases quite big. Making most out of staff needs different actions in recruiting, communicating, coaching, supplying and rewarding. Managing staff means taking care of your own people.

#6 Support Service

Everything you decide not to do by yourself (with your staff) you need other professionals to help you: freelancers, suppliers, service providers, entertainers etc. Even if they work by their own or for their companies, everyone involved should play the event with similar game plan.
